Privacy Policy

1. What we collect
When you use Bink, we collect and store the following:
- Your Bink email address — the address you give to providers (e.g. greg@bink.com)
- Document metadata — the provider name, document type, and category assigned when we process an email
- Extracted fields — structured data we pull from your documents: policy numbers, renewal dates, amounts, contact details
- Email body text — the plain-text content of emails received at your Bink address, retained for 30 days
- PDF attachments — the text extracted from PDF files attached to emails; the original file is not stored
- Consent records — timestamps of when you agreed to our terms and privacy policy
- Calendar events — renewal and expiry dates extracted from your documents
2. Why we collect it
Everything we collect serves one purpose: to organise your important documents automatically so you never miss a renewal, overpay on a policy, or lose a key reference number.
Specifically:
- To receive emails sent to your Bink address and file them in your dashboard
- To extract key information from documents using AI classification
- To surface upcoming renewals and payment dates in your calendar
- To let you view, search, and act on your documents from one place
- To record your consent preferences as required by UK data protection law
We do not use your data for advertising, profiling, or any purpose beyond the service you signed up for.
3. How long we keep it
- Email body text: 30 days from receipt, then permanently deleted
- Document metadata and extracted fields: for the life of your account
- Consent records: retained indefinitely as required by law
- Calendar events: until you delete them
- All data: deleted within 30 days of account closure
4. Who we share it with
Nobody. Bink does not sell, licence, share, or transfer your personal data to any third party for their own purposes.
We use the following data processors who act on our instructions only:
- Postmark — receives inbound emails on our behalf
- Anthropic (AI) — classifies and extracts data from document text; no data is retained by Anthropic after processing
- Replit — hosts the application infrastructure
Each processor is bound by a data processing agreement and may not use your data for any purpose other than delivering the service.
5. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the data we hold about you
- Correction — ask us to correct inaccurate data
- Erasure — ask us to delete your data ("right to be forgotten")
- Portability — receive your data in a machine-readable format
- Restriction — ask us to stop processing your data in certain circumstances
- Objection — object to processing based on legitimate interests
To exercise any of these rights, email privacy@bink.com. We will respond within 30 days.
6. Cookies
Bink uses essential cookies only. We do not use tracking cookies, advertising cookies, or any third-party analytics that identify you across websites.
The cookies we set are necessary for the dashboard to function (session management). You cannot opt out of essential cookies without also opting out of the service.
